Hylton Center Development Events Coordinator
The George Mason University’s Hylton Performing Arts Center seeks an energetic, experienced Development Events Coordinator to create engaging and memorable alumni, donor and community events to foster engagement with the Center. The Development Department hosts an array of donor events, including a two-day black-tie Gala, stewardship dinners and receptions, and donor cultivation events. Reporting to the Director of Development, the Events Coordinator will work with the Development team, colleagues in the Hylton Center, across the College of Visual and Performing Arts and George Mason University, as well as external contractors, donors, artists, and patrons.

About the Position:
The Events Coordinator leads the planning, design, communication, and production of both in-person and virtual events working closely with marketing, operations, and development personnel as well as Center staff, College faculty, and external artists and partners as well as volunteers. The expectation is for 4-6 annual signature events, with up to 400 participants. Most events will be located at the Hylton Center, with the potential for hybrid events as required. Examples of planned events include an annual leadership donor recognition dinner; a donor-only Season Announcement reception; a black-tie fundraising Gala, including dinner, reception, auction, and concert; and a planned giving dinner in coordination with the University. Additionally, the Events Coordinator will be a member of the Development team and will be expected to provide season performance assistance at donor hospitality approximately 1-2 times per month.
Responsibilities:
- Manage a comprehensive event calendar, working with multiple stakeholders to balance unique requirements and goals;
- Envision and manage all aspects and details of events from concept to completion, including event timelines, budgets, collateral, vendor relationships, run-of-shows, and post-event evaluation;
- Demonstrate project management skills by successfully developing and executing multiple events at any given time;
- Develop and execute compelling virtual events as needed;
- Collaborate with the marketing staff to create engaging and informative event materials and market events strategically to the Center’s donors, patrons, and volunteers;
- Order supplies for the events as needed;
- Perform post-event evaluation through the use of surveys, internal evaluation, and established metrics to determine the effectiveness and return on investment (ROI);
- Produce event reports using industry-standard events management platforms (i.e. Advance, ORBIS and iModules /Anthology systems, or similar); and
- Other duties as assigned as they pertain to Hylton Center Development and Departmental Events.
Required Qualifications:
- Managing multi-faceted, high-level events, and/or equivalent combination of education and experience;
- Excellent administrative, organizational, and project management skills;
- Ability to work creatively, independently, and be a team player;
- Excellent written, visual, and verbal communication skills to help promote events among diverse constituencies;
- Ability to work flexible hours aligning with events, along with some local travel; and
- Demonstrated expertise with Microsoft Office Suite, Microsoft Teams, and DropBox/One Drive/similar cloud storage services to facilitate sharing on files and documents.
Preferred Qualifications:
- 3-5+ years events experience preferred;
- Project management experience with superior skills in time and prioritization management;
- Demonstrated experience with virtual event platforms and managing virtual events;
- Prior experience preferred in CRM and email databases which provide tools to create event websites, pull registration lists, and send event-related emails (invites, reminders, and post-event follow-up surveys);
- Collaborative skills to facilitate teamwork and achieve common goals for each event;
- Ability to work in a fast-paced environment and adept at problem-solving; and
- Experience creating, managing and promoting virtual events.
